Exhibitor FAQ

  • NACFB Commercial Finance Expo exhibitors can access Hall 3A for set up on:

    Tuesday 10th June 2025 – 14:00 – 18:00

    Wednesday 11th June 2025 (show day) – 08:00

    * Your contractors will be allocated additional time for stand build.

  • During build up on the 10th and from 5pm on show day during breakdown, all members of your team MUST be wearing a hi-visibility waistcoat and appropriate footwear. Appropriate footwear is fully enclosed front and back with a sturdy sole. Flip-flops, open shoes and sandals etc. will not be permitted.

    Please ensure your team bring hi-vis waistcoats with them to access the hall. Hi-vis waistcoats will not be available to borrow or purchase in the hall.

  • Car parking is available free of charge to exhibitors in the nominated East Car Parks 1 and 2, to a maximum of two cars per stand. A parking permit must be shown as you exit the car park.

    Please ensure that you follow the digital signage displayed on access routes into the NEC Complex, to ensure that you are in the correct car park.

    Your parking permits will be available for collection from the Information Desk on Tuesday 10th June between 2pm and 6pm and on Wednesday 11th June between 10am and 4pm.

    Additional vehicles will be required to pay for parking. Details of how to book parking in advance can be found here.

    A free shuttle bus will be available on show day to take you from the car park to the NEC. The bus will run from 7.30am – 6.30pm.

  • Stands must be fully set up by 09:00.

    Stands must be completed 30 minutes prior to the show opening to the public at 09:30 and must be clean and in good order. Boxes must not be stored on or behind stands. If you need to store any items, please get in touch with a member of the Event Team on the day. There is limited storage space, which may not be close to your stand.

  • We ask exhibitors to wait until 17:00, once all attendees have been cleared from the event. The loading bay will not open until 30 minutes after the exhibition has been cleared of attendees.

  • Yes, exhibitors will be supplied with an exhibitor pack which will include requests for health & safety documents and key information. All of which must be completed prior to exhibitors arriving onsite.

    Exhibitors are encouraged to familiarise yourself with the NACFB Commercial Finance Expo Health & Safety Policy and complete the site induction prior to arriving on site to speed up entry into the hall.

    It is essential that you understand your Health & Safety obligations.

    The Health & Safety at Work Act (1974) covers exhibition and conference venues as places of work. As an exhibitor it is essential that you are aware of your obligations within the Act.

    The NACFB, as the organiser, has a duty to ensure that exhibitors and contractors are aware of their responsibilities. R&R Events, as a contractor working on behalf of the NACFB, have undertaken to make you aware of this.

    These responsibilities include:

    • Ensuring, so far as is reasonably practical, the health, safety and welfare of all employees and any article, plant, substance, or system of work which may be used, are safe and without risk to health.

    • Ensuring that all employees are provided with information, instruction, training and supervision to ensure their health and safety, and that of others in the vicinity, by what they do or do not do.

    Main areas to check, but not restricted to:

    • Understanding of Fire and Emergency procedures and location of First Aid centres.

    • The need to maintain emergency exits and keep gangways clear at all times.

    • Ensuring that working at height is done in a safe manner, using suitable equipment in the approved way e.g. steps, scaffold towers.

    • Ensuring that staff wear suitable protective clothing.

    • Ensuring that all powered access equipment, i.e. forklift trucks, cranes, etc are operated by fully trained and certified personnel.

    • Ensuring that only acceptable substances be allowed onsite and in full compliance with the COSHH (Control of Substances Hazardous to Health) regulation e.g. fluorescent type lighting tubes require specialised disposal as hazardous waste.

    • Ensuring that Personal Protective Equipment (PPE) is used if other protective measures are unrealistic and that employees are trained in its’ use and limitations.

    • Ensuring portable power equipment is only used for the purpose for which it was designed, with safety guards and devices fitted and used. Power leads must be kept to a minimum and not cross gangways. Power requirements must not overload the systems order. Equipment should carry a current testing certificate.

    • The need that staff are trained to ensure safe working practices, including the importance that good housekeeping is maintained in all work areas, minimising hazards.

    • Ensuring all contractors employed on behalf of your company are given a copy of this policy.

    NB. May we remind exhibitors that you are obliged to report accidents to the Organisers’ Office as soon as is reasonably practical.

Access and build information

  • Yes - this year the event has again partnered with CEVA Show Freight. With a base on the NEC complex, CEVA are able to provide a variety of flexible options for moving your goods to and from the show including early collections and deliveries.

    If you wish to use an alternative courier method, you should advise your couriers to use VE Door 3.7. There will be a Courier Desk located in this area that will hold the delivery until you are on site to collect from the storage area.

    Please ensure that goods are only delivered between the hours of 9am and 6pm on Monday 9th June and Tuesday 10th June. Failure to do this will result in the delivery being turned away.

    Courier collections should be made between 5pm and 8pm on Wednesday 11th June ONLY, all items to be collected by a courier should be clearly labelled and taken to the Courier Desk at VE Door 3.7 within the hall.

    The NACFB Commercial Finance Expo cannot take any responsibility for any items left for courier collection that are incorrectly labelled or not collected on time.

  • Packages that include stand furniture, the items will be delivered to your stand. If you have any questions or are missing items, please speak with a member of the NACFB team or Creative Hire Team who will be located at the Information Desk near the entrance of Hall 3a.

    If you would like to order additional furniture you can do so via the Total events storefront or by emailing expo@nacfb.org.uk and the NACFB team will support with confirming additional furniture requirements.

  • Power can be arranged via the Total Event store front. Exhibitors will be provided with a login on confirmation. If you have any questions, you can contact Total Event via info@totalevent.co.uk

  • Stands must not have any wall, construction or obstruction covering more than 50% of any open side over 1m in height.

    Stands adjacent to other stands must be dressed down to the rear from the top to a height of no less than 2.4m.

    Any stand exceeding 4m in height will be deemed a complex structure and will require additional sign off from the structural engineer. The measurement is taken from the venue floor to the highest point of the stand including lighting and graphics. The client or contractor will be liable for this cost.

    No element of the stand is permitted to be rigged from the building without the express permission of the Organiser. If permission is granted any rigged elements must have a clearance height of no less than 3m from the floor, if rigged above a platform floor the 3m must be from the platform floor rather than the hall floor.

  • The use of microphone and audio-visual equipment is permitted, but the volume must not be such as to cause annoyance to other exhibitors. The Organisers reserve the right to prohibit their use if, in the Organisers’ opinion, any annoyance is being caused. In relation to copyright and public performance, it is the personal responsibility of the exhibitor, at their own expense, to obtain all appropriate licenses, including those issued by the Performing Rights Society and Phonographic Performance Ltd. The Organisers reserve the right to prohibit any recorded or live performance if the exhibitor is unable to produce the appropriate licence for inspection.

  • Yes, however the NEC have very strict guidelines on the distribution of any food and drink, so any stand considering catering of any kind must make prior arrangements with the NEC. The NEC and the Organisers have the right to prohibit any activities should any necessary paperwork not have been completed and approved in advance.

  • Branding and signage must be contained within the exhibitor’s hire space.

    If you have a shell scheme, the show will provide flag signage to sign post delegates towards your stand.

    If you would like to add additional branding, you can order this with Total Events via the shop front. As always the NACFB team are on hand should you require support.

  • The NEC has free Wi-Fi access available. All users can connect to the internet as and when they want for simple transactions such as sending emails, simple web browsing and accessing social networks and this is all available free of charge! If, however, your stand relies on a strong internet connection for presentations etc. we would recommend an additional hard-line to ensure smooth running. Full details of the cost of a hard-line are available via Order exhibitor services | the NEC, Birmingham.

  • You may access the Loading Bay of Hall 3a during your designated build and derig times. You will be required to book your vehicle in via the online Voyage Control system, a link will be sent to you in the Key Exhibitor Information.

    A limited number of trolleys are available within the hall for you to borrow. We recommend bringing your own method of transporting goods from your vehicle to your stand in order to minimise any delays.

  • No, exhibitors don’t need to adapt their stand or offering to fit with the show theme, though you are welcome to do so!

    The ‘city theme’ is designed to enhance the structure of the event which already exists, and exhibitor stands act as ‘shopfronts’.

    Some exhibitors are looking to incorporate the theme into their stand design and have planned activities, by referencing café inspired design or a play on community facilities found in a city.

Logistics and deliveries

  • Yes, exhibitors will need to register their register team and will be sent a link to do so. Exhibitors will then receive an exhibitor’s badge onsite.

  • Exhibitors can collect their badges from the registration desks located at the entrance of Hall 3a, from 2pm on Tuesday 10th June.

  • Each team member should collect their own badge upon arrival - this will ensure access is granted to the event.

    The fastest way to collect badges is to ensure that each member of the team is pre-registered and has their individual QR code accessible in the show’s app.

  •  Yes, key dates are outlined in your exhibitor pack.

Registration and badges

  • Yes, we hold an annual welcome drinks reception, which includes free food and drinks. The event is open to exhibitors only and is free to attend. Registration will open in May.

  • No, we currently don’t have discounted rates agreed with a hotel.

  • The Hilton Metropol, The Genting and The Moxy are closest to the venue.

Networking and pre-event details

  • Yes - the Information Desk is located to the right of the entrance to Hall 3a and is staffed throughout the event to assist both exhibitors and delegates.

    Exhibitors can also collect scanners, parking passes and rebook for 2026 at the Information Desk.

  • You can rebook for 2026 on from 3pm show day at the Information Desk.

Assistance and rebooking

  • Yes, we have a variety of catering options selling food and drink this year.

    City centre café - Located at the centre of the event, this area will be serving a selection of hot and cold drinks and cold food such as sandwiches and salads.

    Food Market - Located to the right of the hall, the Food Market will be serving hot food as well as a selection of hot and cold drinks throughout the day.

    The Broker’s Arms - The NACFB’s Members-only pub will be serving a selection of complimentary hot drinks, pastries and cakes throughout the day, with alcoholic options available from 2pm.

    Also available for exhibitors, is the full on-stand hospitality service available via NEC Catering. Full details of the menus and options can be found here.

  • Yes, all equipment must be PAT tested and the appropriate power source is required. Total Event and the NACFB team can assist you with this.

  • The NACFB team are hand to assist and can be found at the Information Desk located at the front right of the entrance to Hall 3a. The Information Desk will be staffed throughout the duration of the event.
